Assign the spot
They're on the roster — we let them know.
Put a specific person on a spot. Someone connected with you is signed up and notified; anyone else gets a held spot and a text to forward.

On the board, hosts see + Assign someone under every role and supply card. It opens Assign someone — [need] in two steps.

1. Who. Two tabs:

  • Your people — search the people you're connected with on Luau (Search your people…).
  • By phone — First name, Last name, Phone number.

Tap Next.

2. What. The card you started from is listed first:

  • For a supply or an all-day role, set how many with the stepper, or tap All [N] to give them everything that's still open.
  • For a role with shifts, pick the shift chips (full ones are disabled).
  • Add more for [name] lists every other role or supply with spots left, so one person who said "I'll do all of it" gets everything in one go. Each added card has its own stepper or shift chips and an × to drop it.

Then tap Assign [name] or Hold the spots & get the invite.

Assigning someone again to a supply they're already on adds to their total; shifts they already hold are left alone.

Undo an assignment. Under each card, names you placed yourself have an × next to them. Tap it and confirm Unassign: the spot opens back up to everyone, their reminders for it stop, and a couple of minutes later they get one message ([You] took you off a spot 📝) listing what came off and what they're still down for. Only hosts and co-hosts see this, and only on people they assigned; guests cancel their own sign-ups themselves.

Two things can happen:

  1. They're connected with you on Luau. The sign-ups are created on their behalf, they're RSVP'd Going if they weren't already, and a few minutes later they get one notification listing everything you put them on ([You] signed you up 🙌), the same way guests get one summary for their own sign-ups. Toast: [Name] is on the roster — we'll let them know shortly. Their reminders run as normal.
  2. Anyone else. The spots are held: they count against capacity and nobody else can take them, but Luau does not text a stranger. Instead you get a pre-written message ([Host] signed you up to help with 5 lbs of Fish fillets and Greeter (Sat, Oct 17 8:00a-10:00a) at [event]. Confirm your spot: [link]) with Text the invite and Copy buttons. The holds turn into real sign-ups the moment they open the link and sign in.

Held spots show on the board with a held tag, count against that role's spots (not the event's guest cap), and stay held until the person confirms or you release them. Hosts can move a held spot to another role running the same shift, or release it (Spot released — open to everyone again.). There's no limit on how many spots one guest can claim.

Share the whole board

The board header has a share button (Share the sign-up board), and the Sign-ups are live screen after publishing offers Share the whole board. Both send a link plus a message: Help make [event] happen — grab a role or bring something! No app download needed — opens right in your browser. On a phone this opens the system share sheet; on a desktop browser the message is copied for you to paste.

The link previews in iMessage, WhatsApp, and Slack with the current open counts. Guests can share it too when the event's Guests can share setting is on; off, only hosts and co-hosts see the board's share actions.

Share one specific need

Know someone with a truck? Send them the exact ask.

  • Right after publishing, on the Sign-ups are live screen, tap Share a specific need. It lists only items with spots left (2 spots open, 8 gallons still needed); pick one and the share sheet opens with a message like Hey! Lisa is organizing the Fish Fry and they still need 2 more people for Cleanup crew — any chance you could help? No app download needed — opens right in your browser.
  • Later, the same per-need share is on each card's share action on the board, and inside a supply's sign-up sheet as Can't help? Send to a friend who can.

The link opens the board scrolled to that need. It never claims "no account needed": the person will sign in with their phone number to claim, which takes a few seconds.

Check-in QR (if check-in is on)

If you've turned on Location Check-in in the ••• menu, the board header and the live screen offer Print a check-in QR: Print it and put it at the door — guests scan to check themselves in. It points at the event's normal check-in page, which confirms the guest is at the venue. With PartyPass check-in only, skip the QR: the check-in page opens only from a tag tap.

Questions

Frequently asked.

Can I sign someone up myself?
Yes. Tap + Assign someone under a role or supply, pick a person from Your people or enter a name and phone under By phone, tap Next, then choose how many (or All) or which shifts, and confirm.
Can I assign someone more than one of a supply, or several things at once?
Yes. The second step has a quantity stepper with an All shortcut for supplies and all-day roles, and Add more for [name] lets you put them on other open roles or supplies in the same go. Assigning someone again to the same supply adds to their total.
I assigned the wrong person. Can I undo it?
Yes. On the board, names you assigned have an × next to them (on iPhone, tap the name and choose Unassign); confirm and the spot opens back up, their reminders for it stop, and they get one message about it. Co-hosts can do this too.
What if the person isn't on Luau?
The spot is held for them and counts against that role's spots (not the event's guest cap). You get a pre-written text with their invite link; the hold becomes a real sign-up when they open it and sign in, and they're RSVP'd Going at that point.
Will Luau text people for me?
Only people you're connected with on Luau are notified automatically. For anyone else you send the invite text yourself; Luau never texts a stranger.
How do I share just one role or supply?
Right after publishing, tap Share a specific need on the Sign-ups are live screen, or use the share action on a card. The message names the exact ask and links straight to it.
Does the share link need the app?
No. It opens in the browser. The person signs in with their phone number to claim, which takes a few seconds.
Can guests share the board too?
Yes, as long as the event's Guests can share setting is on. Turn it off and guests lose the board's share button, the per-need share, and the Can't help? Send this to a friend link; hosts and co-hosts keep them.
Can I move or release a held spot?
Yes. On the board, hosts can move a held spot to another role running the same shift, or release it so anyone can take it.
